Public Meeting Participation Information

In order to minimize the spread of COVID-19, the City of Hendersonville is offering multiple options for the public to view and participate in public meetings and remain engaged with their local government.

Access the Meeting Details

Visit the City of Hendersonville Calendar and select the meeting that interests you.

Information on how to access the meetings by watching online, calling in by phone, and attending in person are available in the Calendar Event. Cancellation information, as well as links to meeting agendas and other information, are also posted within the Calendar Event.

Some public meetings, such as the first monthly City Council meeting, those containing public hearings, and neighborhood compatibility meetings, provide opportunities for public comment. Other meetings, like the second monthly City Council meetings or special meetings, do not include public comment time on the agenda, however, you can contact elected officials directly to provide feedback. 

Submit Public Comment

For meetings with designated public comment time the public can provide their comments using the following methods:

Before the meeting:

  • Visit https://www.publicinput.com/hvlmeeting choose the project or meeting for which you would like to provide comment and select ‘Participate’. You will be asked to provide your name and address for the record.
  • If you are unable to submit your comment by using the publicinput platform, public comments may be emailed to anock@hvlnc.gov or provided at (828) 697-3001. Please include the project or meeting for which you are providing the comment and include your name and address for the record.
  • Pre-submitted public comments should be submitted and received by the City by the time indicated on the Calendar Event for the meeting. This is typically by noon on the day of the City Council meeting or three hours before a Neighborhood Compatibility meeting.

During the meeting:

The public will be invited to speak during designated public comment time. Those wishing to provide public comment may participate via Zoom.

Using a computer or smartphone
  • From a web browser – visit https://zoom.us/join and enter the Meeting ID provided in the Calendar Event and enter a personal link name so that you may be identified during the meeting when it is your turn to speak. Select “Join” and enter the password provided in the Calendar Event. Zoom may request you to enter an email address in order to join the meeting.
  • From the Zoom app – after downloading the Zoom app on your smart phone or tablet, open the Zoom app and click on the “Join” button. Enter the Meeting ID provided in the Calendar Event and enter a personal link name so that you may be identified during the meeting when it is your turn to speak. Select “Join” and enter the password provided in the Calendar Event.
  • Select your audio preference – once you join on a computer, tablet, or smartphone, you can select your audio preference. If your device is equipped with a microphone and speakers, you can select Computer Audio. If you do not have a microphone and speakers on your device or your sound quality is poor, you can select Phone Call. If you select Phone Call, you will be provided a list of numbers to use to call into to participate in the audio portion of the meeting. Please only use one source for audio to prevent feedback.
  • You will be permitted into a virtual waiting room and will be allowed into the meeting by City staff. Once you are invited into the meeting you will be able to view and hear the meeting.
  • By default, all attendees are automatically muted. During the public comment or public hearing time, use the “Raise Hand” tool. Tap next to your name in the “Participants” list, then tap Raise Hand. You will see a hand icon beside your name in the participants' list. If you are only accessing the meeting by phone, you can “Raise Hand” by pressing *9. The host will unmute attendees in the order in which they raised their hand and alert you when it is your turn to speak. Speakers may be given time limits based on the meeting and the number of people who are in the queue to speak. Once your public comment has ended, you will be muted again.
Using a regular phone
  • From a phone – dial the phone number and enter the password provided in the Calendar Event.
  • You will be permitted into a virtual waiting room and will be allowed into the meeting by City staff. Once you are invited into the meeting you will be able to hear the meeting.
  • By default, all attendees are automatically muted. During the public comment or public hearing time, you can request to speak by pressing *9. The host will unmute attendees in the order in which they requested to speak. Speakers may be given time limits based on the meeting and the number of people who are in the queue to speak. Once your public comment has ended, you will be muted again.

  • Phone Number: 1-646-558-8656 and enter the meeting ID and password available on the Calendar Event that is specific to each individual meeting.

The City of Hendersonville provides a space for individuals who are otherwise unable to access public meetings. A minimum of ten people will be permitted into the Operations Center located at 305 Williams Street thirty minutes prior to the start of meetings. The maximum number of entrants is determined by the state's order and the space required for guests to remain physically distanced.
